Introduction
To edit a Customer, head to Customers & Loyalty > Customers, locate the required Customer and select [Edit].
There are various aspects to a Customer that can be edited:
Customer Balances
Customer Balance Activation
A Customers balance is only available to them if their Customer record is active.
Within the Loyalty & Account tab, use the Active checkbox to activate or deactivate a customer.
Customer Balance Check
The current balance of a Customer account can be seen in the the Loyalty & Account tab.
For a Customer with loyalty points:
- Loyalty Points Balance: Displays the current points balance.
For a Customer gift cards or account:
- Account Balance: The current gift card or account balance.
- Account Credit Limit: The credit limit for this account, if applicable.
- Available Funds: The amount that the Customer is available to spend when considering both the current account balance and credit limit, if applicable.
The Account Balances report can also be used to see Customer account balances.
Customers Balance Adjustments
The Customers balance can be updated within the Loyalty & Account tab.
Select [Adjust] against either the Loyalty Points Balance or Account Balance to adjust the relevant balance.
Within the Loyalty & Account tab:
- For accounts and gift card, select [ADJUST] against Account Balance.
- For loyalty points, select [ADJUST] against Loyalty Points Balance.
In the Balance Adjustment window:
- Balance Change Reason: Select a Balance Change Reason to record the reason for the change. A message will then show to highlight whether this reason is set up to increase or decrease the Customers balance.
- Adjustment Amount: Enter the amount to increase or decrease the balance by.
If required, a Balance Uplift can be added to further increase or decrease the Customers balance against a different reason. For example, you may have a promotion where gift card purchases over a specific value receive an extra balance on top to promote gift card sales.
- Add Uplift Amount: Enable this, if required.
- Balance Change Reason: Select a Balance Change Reason to record the reason for the change. You can only select from reasons that either increase or decrease the balance per the reason selected above.
- Uplift Amount: Enter the amount to further increase or decrease the balance by.
Then select [Update Balance].
Customer Balance History
The Customers balance history can be viewed within the History tab.
Against each update to the Customers balance
- Entry Date: The time that the adjustment occurred.
- Message: A summary of the entry type.
- Balance Change Reason: The Balance Change Reason of adjustments via Back Office, if applicable.
- User: The user that made the update. (Note that POS transactions will show as 'System'.)
- Transaction ID: A link to a POS transaction that update the balance, if applicable.
- Amount: For Accounts / Gift Cards, the balance reloaded or redeemed, along with a running total.
- Points: For Loyalty Points, the points being reloaded or redeemed, along with a running total.
The Account Balance History report can also be used to track Customer balance changes.
Customer Details
Customer Information
Within the Customer Detail tab, the following Customer information can be edited:
- Title: Enter the Customers title.
- First Name: Enter the Customers first name.
- Second Name: Enter the Customers surname.
- Customer Type: Select the Customer Type that the Customer is assigned to.
- Company Name: Enter the company name that the Customer belongs to.
- Date Of Birth: Enter the Customer date of birth.
- Joining Date: Enter the date that the Customer joined.
- Mobile No., Home No., Work No.: Enter the Customer contact number(s).
- Email: Enter the Customer email address.
- Restrict Customer To Site: If the customer should only be available at a certain site when placing Customer Orders, select the site.
- Notes: Enter any notes specific to the Customer.
Customer Account Code
Within the Loyalty & Account tab, the following can stored against the Customer:

Customer Code: Enter a unique code for the Customer. This is the code that identifies the Customer via any integration between the POS and Cinchio Customers. Note that:
- If a code already exists for the Customer, this cannot be edited.
- You can select [Get Customer Code] to generate a unique alphanumeric code, if required.
- Third Party Reference: Enter a reference for the Customer if applicable. Note that this reference is not seen at the POS.
Customer Addresses
Addresses can be assigned to Customer within the Addresses tab.
To add an address to the Customer, select [Add Customer Address].
Then enter the following as a minimum:
- House No. And Street: Enter the first line of the address.
- City: Enter the city.
- Post Code: Enter the post code / ZIP code.
- Land Line: Enter the Customer contact number.
The following can also be entered if required:
- Company Name: Enter the company name.
- County: Enter the county.
- Country: Enter the country.
- Default Billing Address: Select whether the address is the default billing address.
- Default Delivery Address: Select whether the address is the default delivery address.
Multiple addresses can be assigned to the Customer if required.
Addresses can also be marked as deleted to hide them from view. Previous orders will remain associated with the address marked as deleted, whilst new orders will be associated with a new address added.
Customer Tags
Introduction
Customer tags are used when multiple people need to charge to the same Customer account. For instance, a family on holiday might use wristbands that all charge to a single customer account, or a business may provide charge cards to each employee that are linked to one customer account.
Customer tags are managed within the Tags tab of the Customer:
Adding Customer Tags
To add a new Customer tag against a customer, either:
- Enter the Customer tag code into the Customer Tag field and select [ADD TAG].
- If your device has a camera, select [SCAN TAG] and scan the QR code on the customers physical tag. (You may need to confirm to allow Cinchio Back Office to access your devices camera.)
Managing Existing Customer Tags
Any customer tags already assigned against the customer are listed within the Tags section of the customer account page, where the list displays:
- Customer Tag: The unique code against the customer tag.
- Status: Shows whether or not the tag is currently active.
You can use the [Enabled Tags] / [All Tags] switch to toggle between showing only enabled tags in the list, or both enabled and previously disabled tags.
Against each tag, the option to [Enable] or [Disable] is shown where appropriate.
Customer Order Settings
If the Customer is used within Customer Orders, in the Loyalty & Account tab the following defaults can be assigned:
- Default Customer Orders Price Level: Select which price level to use for this customer within customer orders. This cannot be overwritten.
- Default Customer Orders Media: Select which payment media to use for this customer within customer orders. Although this appears by default, it can be overwritten.
