Users
Add a User
Add a new user in MyVenue, from entering their details to choosing their login options and assigning a role.
Before you start
Each user is assigned one role, and roles are created in Users > Roles. Make sure the role you need already exists.
Steps
1
Go to the Users module
In the menu, go to Users > Users.
2
Select the add symbol
Select the + symbol to the right of the Search bar.
3
Enter the user's name
Enter the user's first Name and Surname.
4
Enter their login details
On the User Details tab, complete these fields.
The user name the person will use to log in to mvManager.
The user's email address.
Ticked by default for new users. Untick it if you need to.
5
Choose how the password is set
The Email Password Reset checkbox decides how the new user gets their password.
Ticked
When you save the user, they are sent an email with a link to reset their password.
Unticked
Fields to enter and confirm the new password appear. No password reset email is sent to the user.
Once you save the user, the password fields can no longer be accessed.
The Service Account, Two Factor Enabled and Clear User OTP options are explained in the additional reference notes at the end of this article.
6
Assign a role
Select the User Roles tab and choose a role created in Users > Roles.
Each user is assigned one role. The role gives the user permissions to the system's modules and functionality.
Choose the role carefully
Only select the role relevant to the user you are creating. If in doubt, contact the European Helpdesk or the North American Helpdesk.
7
Save the user
Select Save.
The new user is saved and can log in to mvManager with their user name.
Additional reference
These options are not needed for every user. Open a section to find out what it does.
Service Account
Do not tick this box for normal use
Only turn on Service Account for integration accounts, not for individual users. Service accounts cannot log in to the mvManager UI.
Two Factor Enabled (multi-factor authentication)
Tick Two Factor Enabled to turn on multi-factor authentication (MFA) for the user. They will need to complete MFA setup the next time they log in.
This adds an extra layer of security, because the user must enter a verification code from an authenticator app.
Clear User OTP
Not required if you are not using MFA.
Authorised administrators can use Clear User OTP to clear a user's stored MFA configuration. Use it if the user has lost access to their authenticator device or phone, so they are not permanently locked out of the system.
After you clear the OTP, the user must set up and enrol a new MFA token the next time they try to log in.
Routine actions, such as resetting a user's password, do not remove their MFA credentials.
