Managing Stock Count Sheets
Within stock periods, stock count sheets are used to count inventory products at the end of each period.
Stock count sheets are unique to each site. Your site can have as many stock count sheets as required, providing the flexibility of allowing a count sheet per 'count area' within your site.
Products can exist on multiple stock count sheets if the product is stored within multiple places. Counts on different count sheets are consolidated into one total in period reports.
Creating Stock Count Sheets
Stock count sheets are inherited from the previous period when the period gets created.
If any new stock count sheets are required, ensure that you create them in the most recent period for the next periods to inherit it.
To create a new stock count sheet, head to the Stock Counts section of the latest period within your site and select [New Count Sheet].
Within the New Stock Count Sheet page:
- Count Sheet Name: Enter a name to describe the count sheet.

Autofill Using Option: Select one of the following options:
- Blank Count Sheet - The new count sheet will be blank initially.
- All Valid Products - The count sheet will contain all inventory products initially.
- Product Groups - The count sheet will contain inventory from selected Product Groups initially.
Then select [Create Count Sheet].
As covered below, products can be added, removed and reordered as required to customise the layout.
Editing Stock Count Sheets
Stock count sheets are inherited from the previous period when the period gets created.
If any stock count sheets changes are required, ensure that you do this in the most recent period for the next periods to inherit the changes.
Update Stock Count Sheet Settings
Within an existing stock count sheet, the following settings can be changed:
- Name: Enter the name of the count sheet.
- Count Sheet View: Select the count sheet view as covered in This Section.

Auto Add To Next Stock Period: Select from the following options:
- Yes: The count sheet and it's layout will be created automatically in the next stock period.
- No: The count sheet will not be created in the next stock period as covered in This Section.
Add Products To Stock Count Sheets
To add products to a stock count sheet, within the Add Product To Count Sheet field, type to search for the required product(s) and repeat until all products are selected.
Then select [Add Product(s)].
Remove Products From Stock Count Sheets
To remove products from a stock count sheet, tick the checkbox against the product(s) to be removed, select [Delete Checked], then confirm removal.
- Select [DELETE CHECKED] and confirm.
Adjust The Order Of Products Within Stock Count Sheets
Against the Count Sheet View setting there are two sort options to choose from:
- Product Group
- Custom Order
The Product Group view splits the count sheet into sections based on product group, listed in alphabetical order. Within each section, products within that product group are listed in alphabetical order.
The Custom Order view presents all items in one section. A drag-and-drop icon is against each product row to allow you to reposition each product within the count sheet. This is particularly useful if counting an area within your site where products are generally kept in the same position along a shelf for example. Note that new products added to the count sheet automatically go to the bottom of the list.
Deleting Stock Count Sheets
It is not possible to delete a stock count sheet.
Instead, as stock count sheets get inherited from the previous period, you just need to turn off the setting which would roll the stock count sheet over into the new period to remove it going forward.
To do this, access the stock count sheet within the Stock Counts section of the latest period within your site, change the Auto Add To Next Stock Period to No and select [Save Count Sheet].
The stock count sheet will remain in this period, but will not appear in any future periods.
