Product Group Configuration
Product groups are the lowest tier of the Product Grouping Hierarchy, and it is product groups that products are directly assigned to.
Creating Product Groups
To create a new Product Group:
- Head to Product Management > Product Groups > Product Groups.
- Select [NEW PRODUCT GROUP].
Enter the following:
- Product Group Name: Enter a unique name for the product group.
- Product Master Group: Select the Product Master Group that this Product Group reports to.
If applicable per reporting requirements, you can also define:
- Purchase Account: If required, assign a purchase GL account to the Product Group for reporting, by associating a Purchase or Overhead type account from the company Chart of Accounts.
- Sales Account: If required, assign a sales GL account to the Product Group for reporting, by associating a Sales type account from the company Chart of Accounts.
- Discount Account: If required, assign a discount GL account to the Product Group for reporting, by associating a Sales type account from the company Chart of Accounts.
Select [CREATE].
Editing Product Groups
Existing Product Groups can be edited if required.
To edit a Product Group:
- Head to Product Management > Product Groups > Product Groups.
- Locate the required Product Group and select [EDIT].
Enter the following:
- Product Group Name: Update the name of the product group.
- Product Master Group: Update the Product Master Group that this Product Group reports to.
If applicable per reporting requirements, you can also define:
- Purchase Account: If required, assign a purchase GL account to the Product Group for reporting, by associating a Purchase or Overhead type account from the company Chart of Accounts.
- Sales Account: If required, assign a sales GL account to the Product Group for reporting, by associating a Sales type account from the company Chart of Accounts.
- Discount Account: If required, assign a discount GL account to the Product Group for reporting, by associating a Sales type account from the company Chart of Accounts.
Select [SAVE].
Searching Product Groups
Access the Product Groups section via: Product Management > Product Groups > Product Groups.
All product groups are shown by default when accessing this section.
If required, you can filter the list to see specific product groups, by using the following filters within the Search panel at the top of the section:
- Product Master Group: Search for product groups assigned to the selected master group.
- Product Group: Search for product groups based on the name entered (or part of).
- Show Deleted: Select whether to include groups that are marked as deleted in search results.
Select [SEARCH], and all product groups which meet your search criteria will be listed in name order.
The product group list shows the following:
- Product Group: Displays the name of the product group.
- Product Master Group: Displays the master group that the product group is assigned to.
- Purchase Account: Displays the purchase account assigned to the product group, if applicable.
- Sales Account: Displays the sales account assigned to the product group, if applicable.
- Discount Account: Displays the discount account assigned to the product group, if applicable.
By default 10 records will show per page. To access other pages, use the page selector in the bottom right corner of the list.
Deleting Product Groups
Product Group Deletion
A product group can be deleted if no longer required, providing that no products are assigned to the product group.
You can only delete a product group if you have rights to do so. Click Here if you do not have rights to delete but believe you should.
To delete a product group:
- Head to Product Management > Product Groups > Product Groups.
- Locate the required product group and select [EDIT].
Within the product group:
- Select [DELETE]. (This is not shown if products are assigned to the master group.)
- Confirm the deletion.
The product group is now marked as deleted.
Product Group Recovery
As this is a soft delete, the product group can be recovered if required.
To do so, locate the product group (ensuring that the Show Deleted search filter is set to "Yes") and access the product group record again.
Select [UNDELETE] and confirm the recovery.
The product group is now available again.
