Reporting Filtering
Throughout reporting, most reports have a variety of filters available to help tailor the report to suit your reporting needs. Whilst the filters available for each individual report vary, there are five key types of filter available.
Site/Location Filter
Most reports have a site picker.
On the left side of the site picker there is a list of available sites to select based on the sites that you have access to. There are also tabs available to switch and select groups of sites instead of individual sites, based on, Country, Active Status, Time Zone, or based on Custom Site Types.
Simply select the sites and/or site types to report on from the list on the left, and the selected options will show on the right side to indicate your selection.
Additionally, selected reports have a location picker.
On the left side of the location picker there is a list of available locations to select based on the sites that you have access to. There is also the option to switch and select groups of locations instead of individual locations, based on Sites, or based on Custom Location Types.
Simply select the locations and/or location types to report on from the list on the left, and the selected options will show on the right side to indicate your selection.
Note that some reports have the options of using either the site picker or the location picker to select which elements to report on. The “Pick By” toggle is available to allow you to select between the two options where applicable.
Date Range Filter
Most reports have a date range picker.
Down the left side there are a series of predefined date ranges which will select the relevant start and end dates and times when selected. These are based on your companies sales week and sales date setup, as per the company Year Day Week Start setting.
For a custom date range, simply click on the start date that you require and then click on the end date that you require. Adjust the times if required, then select [APPLY].
Tip: When selecting a custom date range, you’ll notice that there are two calendars available. This isn’t for you to select a start date on one and an end date on the other; this is so that you can select start and end dates that fall in different months. As you’ll see in the image, if the date range falls within the same month, you can use just one calendar.
Single Option Filter
There are a variety of filter options across many reports that require a single option selecting from a list.
Simply select one option from the list to specify your choice.
Multiple Option Filter
There are a variety of filter options across many reports that require multiple options selecting from a list. You can select one, many, or all options from a list of predefined options.
Typically, [SELECT ALL] and [DESELECT ALL] options are available against this type of filter. You can also add by selecting the option from the list provided, or typing to search for a specific item in the list.
Often, if you leave the list blank, the report will assume all and will return data for all options.
Hierarchy Filter
There are a variety of filter options across many reports that allow for filtering based on a hierarchy. You can select one, many, or all options based on a predefined hierarchy.
With these filers, you can select all options at a top level, or you can drill and selecting one or more options at a middle or lower level by using "+" and "-".
Often, if you leave the selection blank, the report will assume all and will return data for all options.
Report Exports & Automation
Cinchio back office reporting makes it easy to access and manage your data. Export reports and dashboards as needed, or save customised versions for quick access, whether for personal use or sharing with your team. For even greater efficiency, schedule saved reports and dashboards for automatic delivery daily, weekly, or monthly.
Report Exports
Most reports have an Export Report section which, for the report which has been generated, allows you to:
- Export the report as a PDF file.
- Export the raw report data as a CSV file.
- Email a copy of the report directly to email recipients.
Creating Saved Reports
If there are reports or custom dashboards that you use on a regular basis, you can store the report filters against a Saved Report to save you time each time that you require the report.
To create a saved report, start by running the report/dashboard as normal using the filters that you want to save. You need to use a predefined date range within the report filters date picker as highlighted below, otherwise you won't get the option to save the report.
Once the report has loaded, you should now see a new button called [SAVE REPORT FILTERS] appear alongside the report filters. Select this and then enter the following:
- Saved Report Name: Enter a name for the saved report. If the report is later set up for automation, this will be email subject.
-
Share With: Select whether or not the saved report should be shared with others users. The available options are:
- Personal: The saved report is just for you.
- Company: The saved report shows for every user within the company. (Note that Company saved reports cannot be set up for automation.)
- Selected Users: The saved report is for you along with other users that you want to share with.
- Selected Users: If the Selected Users option was selected, choose which users you want to share the saved report with.
Select [SAVE REPORT FILTERS] to create the saved report.
Once created, the saved report can be automated as covered in the next section.
If you need to update the filters against a saved report, run the report via the Saved Reports section and adjust the filters accordingly. Re-run the report using the new filters, and the option to [Update Report Filters] becomes available.
Automating Saved Reports
If you've created a Saved Report as covered in the previous section, you can set this up to email out on a periodic basis.
To automate a report, head to the Saved Reports section and against the Saved Report select [OTHER ACTIONS] and then [EDIT SCHEDULE].
Within the saved report settings, define the following:
- Saved Report Name: The name of the saved report and the subject of the email that you'll receive.
- Enabled: Tick this box enable the option to send out as part of the schedule.
- Cc: By default, as the saved report owner you will receive the email automatically. Here, you can select other users of the system to copy them into the emails too.
- Time: Select the time of day that the email should send. (Per the time zone selection below.)
- Then, select when the report should send by entering ONE of the following:
- Day(s) Of The Week: If you're setting up a daily or weekly email, then select the day(s) that the email should be sent.
- Day Of The Month: If you're setting up a monthly email, select the day of the month that the email should be sent.
- Time Zone: Select the time zone that the schedule time is based on.
Select [SAVE] to save all settings.
You - and anyone you copied in - will now start to receive the report based on the schedule you have defined. Your reports will come from noreply@centegraplus.com or noreply@cinchio.com.
