Frequently asked questions
QWhat is a "Sales Date" in reporting?
A Sales Date is a 24-hour reporting day set for your company. It's often the same as a calendar day, but if your sites trade past midnight it can be different.
For example, if your company's sales date starts at 3am, each sales date runs from 03:00:00 to 02:59:59 the next day:
| Sales Date | Start Time | End Time |
|---|---|---|
| 2023/01/01 | 2023/01/01 03:00:00 | 2023/01/02 02:59:59 |
| 2023/01/02 | 2023/01/02 03:00:00 | 2023/01/03 02:59:59 |
| 2023/01/03 | 2023/01/03 03:00:00 | 2023/01/04 02:59:59 |
| 2023/01/04 | 2023/01/04 03:00:00 | 2023/01/05 02:59:59 |
In this example, any transaction between 2023/01/01 03:00:00 and 2023/01/02 02:59:59 counts towards the sales date 2023/01/01.
How Revenue Management uses the Sales Date
In the Revenue Management module, the Sales Date links related records together:
Multiple cash ups
Sites that declare several cash ups in a day have them all assigned the same sales date, so you can see the overall totals.
Bank deposits
Each bank deposit is given a sales date, linking payments through each trading day:
POS
Payments received.
Cash up
Payments declared.
Bank deposit
Payments deposited.
QHow do I adjust the Sales Date or Sales Week used in reporting?
In report filters, the Date Range picker has preset ranges such as "Today" and "Yesterday" for a single day, or "This Week" and "Last Week" for a week. These follow your company's Sales Date and Sales Week, which you can change to suit your reporting.
1
Go to Company Settings > Company and open the Global Settings.
2
Update the day and time in the Year Week Day Start field. The time sets when each Sales Day starts, and the day of the week of the date you choose sets when each Sales Week starts.
3
Select SAVE COMPANY.
Example
Sales Day
Runs from 04:00:00 to 03:59:59 the next day.
Sales Week
Runs from Monday at 04:00:00 to the next Monday at 03:59:59.
QHow do I configure the Like For Like Dashboard?
Dashboard layout
The Like For Like Dashboard compares today's sales with past data.
Which sites appear
The dashboard automatically lists every site you have access to in Cinchio Back Office. This can't be changed. Within each section, sites are listed in Site Number order, as set on each site.
Sites are grouped into up to four sections, depending on your company:
Company-owned sites only
Company and franchise sites
Dashboard settings
Site settings
Each site has two Like For Like settings in its reporting settings, under Company Settings > Site Setup > Site:
Usually one year after the site's opening date, so the site moves from New Stores to Like For Like automatically after a year. Change it to move the site into the section you need.
Company or Franchise. If left blank, it's treated as Company.
User settings
You can view the dashboard for any date, but it opens on today or yesterday. To choose which:
1
Go to Account > Profile and open the User Detail tab.
2
Choose your Default Dashboard Date.
QWhere can I report on tax?
Tax appears in many sales reports in Cinchio Back Office, so you can check it's being recorded correctly. The best report depends on what you need:
Total tax per day, per site or for all sites combined, plus an overall total.
Total tax per day, per site or for all sites combined, plus an overall total.
Check tax is applied correctly or investigate discrepancies. Filters and drill-down levels take you from a summary to the data behind it.
Get it by email
Like any report, you can schedule the Average Sales or Sales Summary report to be emailed to you regularly.
QWhere can I report on gratuity and tips?
In Cinchio Back Office, service charge and integrated credit card tips are recorded as a negative payment line in the transaction. This keeps the original payment amount, while stopping gratuity and tips from counting as revenue.
In this example, revenue is £20 but the payment taken is £25:
Reports that show gratuity and tips
Because they're payment lines, gratuity and tips appear in any report with payment information:
If you subscribe to Revenue Management, gratuity and credit card tips can automatically create deposits to their deposit accounts. These also appear in:
Important
- Mapping may be needed. Before turning on gratuity or credit card tips in your POS or a third-party sales platform, contact us to discuss mapping them as payment lines.
- Older systems. On some legacy systems, gratuity and tips appear as items sold instead of payment lines. Contact us to discuss moving to payment lines.
QWhere can I report on discounts and deals?
You can see discount values in many places in Cinchio Back Office. The most useful reports are:
Discount per day, per site or across all sites.
Discount per product and product group for a date range.
Every discount and meal deal used in the date range, with the revenue and discount value for each. Expand a row to see the transactions or products involved. Find it under Reports & Analysis > Sales.
QHow do I add or remove sites in saved reports?
New sites aren't added automatically
When a new site is added to your company, it isn't added to any saved reports. As the report owner, you need to add it yourself.
1
In your Saved Reports section, select RUN against the report.
2
Once it loads, update the site filter to include the new sites.
3
Select RUN REPORT to re-run it with the new filters.
4
Once it loads again, select UPDATE REPORT FILTERS.
5
Update the report name if you need to, then select SAVE.
The next time the saved report runs, it includes the new sites.
Follow the same steps to remove sites or change any other filters on a saved report.
QCan I exclude non-revenue items from sales reporting?
Some products are "sold" through the POS but aren't revenue, such as charity donations, charges and third-party fees. These should be left out of sales reporting.
Product-to-Payment mapping handles this. As the transaction comes into Cinchio Back Office, "sales" of selected products are turned into negative payment lines. The sale value is then accurate, the full customer payment is still captured, and the non-revenue amount is treated as a payment liability.
Example
At the POS
Sale Items Burger £9.50 Cash Tip £1.50 Donation £1.00 Payments Credit Card £12.00
The sale totals £12.00, but only the £9.50 burger is revenue. The tip and donation are owed to staff and charity.
In Cinchio Back Office
Sale Items Burger £9.50 Payments Credit Card £12.00 Cash Tip -£1.50 Donation -£1.00
The sale is now £9.50. The £12.00 card payment is kept, and the negative payment lines balance the payments down to £9.50.
Revenue
£9.50
Burger only
Card payment
£12.00
Still captured in full
Liabilities
£2.50
Tip and donation

QWhat are "Rounding Adjustments" in transactions and reporting?
You may see a Rounding Adjustment product, or similar, in transactions and reports. Cinchio Back Office calculates to 6 decimal places, and this product captures any rounding from calculations such as exclusive tax, service charge and discounts. It makes sure gross product sales match payments exactly, to the 6th decimal place.
In this transaction, the customer paid exactly $1.52 and a Rounding Adjustment of -$0.01 appears:
At first glance the gross looks like it should be $1.51 ($0.76 + $0.76 − $0.01). That's only because the figures are shown to 2 decimal places. Behind the scenes, the calculation is:
Gross before rounding
$1.525
Rounding Adjustment
-$0.005
Payment received
$1.52
Transaction balanced
Positive or negative
A rounding adjustment can be positive or negative. Either way, it brings gross product sales in line with the payments received.
Troubleshooting
I see "UNASSIGNED PRODUCTS" in reports
Sales against the UNASSIGNED PRODUCTS product group mean one or more products haven't been assigned to a reporting group in Cinchio Back Office yet.
I see "REMOTE ORDER MAPPING ERROR" in reports
Sales against a product or product group called REMOTE ORDER MAPPING ERROR mean there's a product mapping problem in a remote sales integration. If Cinchio Back Office doesn't recognise a product's ID in a sale from an integration, it records the sale value against this product as a failsafe. The actual product sold isn't captured.
Fix it quickly
Existing transactions can't be corrected, so fix the mapping as soon as you spot it to stop future transactions being affected.
Find the affected transactions
1
Run an Item Sales report for the affected dates, from Reports & Analysis > Sales. Tip: use the Product Group filter to show only the REMOTE ORDER MAPPING ERROR group.
2
Select the quantity to see every transaction containing the product.
3
Select a transaction ID to open the transaction in a new tab.
Find the product causing the error
4
Use the External Transaction ID (the order's ID in the remote sales platform) and the order date and time to find the matching order in the remote platform.
5
Compare the products in Cinchio Back Office with those in the remote platform to find the one with the mapping error.
Fix the mapping
6
Find the correct product ID in the products section of Cinchio Back Office, and map it in the remote sales platform.
I'm not receiving my scheduled email reports
If a report set up to email you isn't arriving, work through these checks in order:
1Check the saved report settings
Make sure the saved report is set up to send.
You own the report
Find it in your Saved Reports. Check Enabled is ticked and the schedule is set up correctly.
Someone else owns it
Ask the person who created it to check the setup, and that you're in the Cc list.
2Check your junk and spam folders
Saved report emails are sent from noreply@centegraplus.com or noreply@cinchio.com. Check they aren't being moved to your junk or spam folders.
3Check your email settings and rules
Make sure no rules in your email setup are moving emails from noreply@centegraplus.com or noreply@cinchio.com to another folder.
You may need to ask your email provider to add these addresses to your allow list (sometimes called a whitelist).
4Contact Cinchio support
If you've worked through these checks and still aren't receiving your email reports, contact us and we'll investigate.
Tax rates look incorrect
Check the tax configuration in the platform the transaction came from, and review all its tax settings.
Tax is calculated from the tax rate on the product's integration price level. Review the price level tax configuration.
Tax rates that are slightly off
In the Tax Rate Analysis report, you may see a tax rate that's very slightly higher or lower than expected. As long as the product has the correct tax rate, customers are charged the right amount and reports show the correct tax and net values. This happens when the POS only sends tax values to 2 decimal places, especially on low-value items.
For example, in the UK you might expect to see only 0% and 20% rates, but a 19% rate appears:
Example
An item costs £0.50 on the POS, with 20% tax. When it's sold once, the POS sends:
- Tax: £0.08, rounded down from £0.083333
- Net: £0.42, rounded up from £0.416667
Big difference?
This only explains rates that are slightly off. If the difference is significant, check the product's tax setup.
A new payment method is missing from reports
Don't worry, the data is still there. It just needs one final setup step before it appears in reports.
A new payment method used on the POS, known as a Media in Cinchio Back Office, won't appear in reports until it's assigned to a Media Type. Media Types group similar Media together to suit your payment reporting.
New Media
Used on the POS.
Media Type
Assign the Media to a Media Type.
Reports
The payment method now appears.
Delivery meal deals aren't reporting as meal deals
Some remote order platforms don't treat meal deals as combos, so they don't report as a discount or appear in the Combo Sales & Discounts report alongside meal deals from the POS and other platforms.
The Combo Reconciliation feature fixes this. It recalculates each meal deal as it comes into Cinchio Back Office and converts it into a combo, so it reports alongside your other combos and discounts.
Without Combo Reconciliation
The sale value sits on the meal deal parent, so the items in the deal have no sale or tax value and the discount is inflated.
With Combo Reconciliation
The meal deal is treated as a combo. Sale and tax values sit on the items, the discount is accurate, and the transaction appears in the Combo Sales & Discounts report.
Turning it on
1
Ask Cinchio to enable it
Combo Reconciliation is enabled per site and per platform, and only Cinchio can turn it on. Contact us with the sites and platforms you'd like it for.
2
Mark each meal deal as a combo
This lets each meal deal be recognised as a combo parent when sold, so its linked modifiers become the combo's child products. Open the product, go to the Additional Product Details section, turn on Is Combo / Promotion, and save.
